How to Reduce Printing Costs in Your Saskatchewan Business

Printing is one of those costs that grows quietly. There's no single big bill, just toner here, a repair there and a new printer when the old one dies. Here are practical ways Saskatchewan businesses can bring that cost down without making life harder for staff.
1. Find out what you actually spend
Add up the last 12 months of toner and ink, paper, repair invoices, lease payments and any printers you bought. Divide by the number of pages you printed (most devices show a page count in their menu). Many offices are surprised to find they're paying 8 to 15 cents a page on small desktop printers, when a business-class device can be a fraction of that.
2. Retire the small inkjets and personal printers
Desktop inkjets and small personal lasers are cheap to buy but expensive to run, because their cartridges hold very little. Replacing several of them with one shared multifunction device usually lowers cost per page and cuts the number of different cartridges you stock.
3. Match the device to the volume
A printer that's too small for your volume breaks down more and wears through parts. One that's far too big wastes money on the lease. Check each device's monthly page count and size replacements to fit.
4. Make double-sided and black-and-white the default
Setting duplex printing as the default on every computer can reduce paper use noticeably. Setting black-and-white as the default and restricting colour to the people who need it reduces the most expensive pages.
5. Use secure print release
With secure release, jobs only print when the person is at the device and taps a card or enters a PIN. Documents that people forget about never get printed, which saves paper and toner, and confidential pages don't sit in the tray.
6. Scan instead of copy
Scan-to-email and scan-to-folder remove a lot of copying. A modern multifunction device can scan a stack of pages straight to a PDF in seconds.
7. Buy genuine supplies at business pricing
Very cheap cartridges can cause streaks, leaks and service calls. Genuine high-yield cartridges bought at business pricing, or included in a managed plan, often cost less per page than they appear to.
8. Put it all on one predictable plan
Managed print combines the equipment, toner, service and parts into one monthly cost based on your usage. You get proper equipment, toner arrives before you run out, repairs are included and the cost stops being a surprise.
